Appointments

Robina Doctors Appointments are best Booked Online or call (07) 5689 1212.

APPOINTMENT PROCEDURE
We will always endeavour to see patients as soon as possible and offer them an appointment with their preferred Doctor. However there are a limited number of appointment slots available each day to see the Doctor or Nurse.

Standard Appointments
Appointments are allocated on a first come first served basis and are for 10 minutes duration.

Appointments outside the standard 7am to 7pm Monday to Friday Surgery hours will incur additional charges.

Please note that appointments for Cervical Smears, Hormonal Implants, Anti-wrinkle Injections, Cosmetic Fillers, Skin Procedures, Drivers Licences, Medical Certificates, Centrelink Certificates, Driving Medicals, Travel Insurance and Life Insurance are not Standard Consultations and require pre-notification to the Receptionist at the time of booking.

Additional fees apply for Disbursements, Supplies, Procedures, Medical Certificates, Referral Letters, Phone Calls, Travel and Life Insurance.

Urgent Appointments
Priority is always given to Enrolled patients, followed by Non-Enrolled patients followed by Casual patients.

If you believe your medical condition needs urgent attention, please ask to speak with the Nurse. If the Nurse is unavailable ask to speak with the Doctor on Duty.

If the Nurse or Doctor agrees that you need to be seen on the same day, appointments may be re-arranged to accommodate you.

If the Nurse or Doctor believes that your condition requires immediate attention but is not life threatening and you cannot be seen in a timely manner, you will be directed to an alternate facility to be seen urgently.

If the Nurse or Doctor believes that your condition is life threatening, an ambulance will be called to your address.

Cancellations or Non-Attendance
If you make an appointment and wish to cancel, please do so at least 4 hours before your scheduled appointment time to avoid being charged a full appointment fee.

If you fail to turn up for an appointment, a full consultation charge applies and will be invoiced to your account.

Allied Health Appointments
Allied Health Providers are available and have a separate appointment and fee system from the Doctors. Please contact Reception for further details.

PATIENT FEES
Robina Doctors list of patient fees effective 1st January 2017.

Medical Consultation Fees
Consultations are currently Bulk Billed for Medicare, DVA and Workers Compensation standard consults for Australian Residents with a valid Medicare, Concession or DVA Card.

All other consultations are privately billed at $90 for a short consult (10 minutes) and $150 for a long consult (20 minutes). Please confirm the cost of your consultation before seeing the Doctor or Nurse.

Appointments outside the standard clinic hours (Monday to Saturday) will incur charges in addition to the Medicare Rebate.

Please note additional fees apply to Cervical Smears, Hormonal Implants, Anti-wrinkle Injections, Cosmetic Fillers, Skin Procedures, Drivers Licences, Medical Certificates, Centrelink Certificates, Driving Medicals, Disbursements, Supplies, Procedures, Referral Letters, Phone Calls, Travel Insurance and Life Insurance and they require pre-notification to the Receptionist at the time of booking.

Physiotherapy
All consultations for patients with a DVA Gold Card, DVA White Card (conditions apply), Work Cover Claim as well as Patients with a Care Plan and EPC and Aboriginal and Torres Strait Islanders enrolled in CTG are Bulk Billed.

Private consults are billed at Initial Consult $85.00 and Subsequent Consult $75.00 (Rebates can be claimed through your private health insurance if applicable).

Exercise Physiology
All consultations for patients with a DVA Gold Card, DVA White Card (conditions apply), Work Cover Claim as well as Patients with a Care Plan and EPC and Aboriginal and Torres Strait Islanders enrolled in CTG are Bulk Billed.

Private consults are billed at Initial Consult $85.00 and Subsequent Consult $75.00 (Rebates can be claimed through your private health insurance if applicable).

Dietician
All consultations for patients with a DVA Gold Card, DVA White Card (conditions apply), Work Cover Claim as well as Patients with a Care Plan and EPC and Aboriginal and Torres Strait Islanders enrolled in CTG are Bulk Billed.

Private consults are billed at Initial Consult $85.00 and Subsequent Consult $75.00 (Rebates can be claimed through your private health insurance if applicable).

Diabetes Educator
All consultations for patients with a DVA Gold card, DVA White card (conditions apply) as well as patients with a care plan and EPC and Aboriginal and Torres Strait Islanders enrolled in CTG are bulk billed

Podiatrist
All consultations for patients with a DVA Gold Card, DVA White Card (conditions apply), Work Cover Claim as well as Patients with a Care Plan and EPC and Aboriginal and Torres Strait Islanders enrolled in CTG are Bulk Billed.

Private consults are billed at Initial Consult $85.00 and Subsequent Consult $75.00 (Rebates can be claimed through your private health insurance if applicable).

Psychologist
All consultations for patients with a DVA Gold Card, DVA White Card (conditions apply), Work Cover Claim as well as Patients with a Mental Health Care Plan Referral and Aboriginal and Torres Strait Islanders enrolled in CTG are Bulk Billed.

Private consults are billed at Initial Consult $160.00, Subsequent Consult $130.00 and Short Consults $90.00. (Rebates can be claimed through your private health insurance if applicable).

PATIENT CATEGORIES

Enrolled patients are those patients who have nominated our Doctors as their General Practitioner on the Registration Form and utilise our services as their first point of contact.
Registered patients have chosen not to nominate our Doctors as their General Practitioner on the Registration form and have another Doctor as their preferred General Practitioner.
Casual patients are visitors who do not intend to utilise our services on an ongoing basis.

TEST RESULTS

Robina Doctors Test Results access and follow up. Please book an appointment 3 days after your test to ensure the safe transfer of results. Assuming your result is normal because you have not been contacted can be dangerous and life threatening.

This process applies to all tests done on patients – blood, urine, stool samples, skin biopsies, x-rays & scans, cervical smears, mammograms, etc.

If you have a test done, it is YOUR responsibility to book an appointment to discuss your test results. We do NOT provide results over the phone or by mail or email.

All results received by the Clinic are checked by your doctor. Unfortunately not all results of tests requested by your Doctor will be received for various reasons, so please make an appointment 3 days after your test is completed. This acts as a safety system for results that may not be delivered to the Clinic and those that may be lost in the system.

Critical Results
You will be contacted for results that are received by the Clinic and are potentially life threatening.

Copies of Results
We do not routinely send you copies. If you require a copy, please notify the Service Provider at the time of your test.

Referrals

Robina Doctors Specialist and Allied Health Referrals are available to all patients. We try to find you the best option to meet your needs.

SPECIALIST REFERRAL PROCEDURE
When a Specialist appointment is required, the Doctor needs to write a letter to the Specialist Clinic either in Private Practice or at the Public Hospital. An appointment is required to discuss the referral letter and the intended outcome.

The referral letter is faxed to the Private Practice or Public Hospital as soon as possible. In most cases the Referral letter is done on the same day, however in some cases it may take up to a week to complete a letter. If you require a copy of your referral letter, please let the Receptionist know before you leave the Clinic.

Private Referrals
The Nurse or Receptionist will provide you with contact details of the Specialist or Service Provider and you are expected to confirm your own appointment.

If there is sufficient time, the Nurse or Receptionist will assist you by making the appointment for you and informing you of the details. It is still your responsibility to re-confirm details with the Specialist or Service provider.

The Specialist or Service Provider will send a report back to the Doctor. You can request a copy of this report to be sent directly to you at the time of the service.

Please make an appointment one week after your Specialist visit to discuss the recommendations of the Specialist.

If a recall is required for a follow up test or appointment in the future the Nurse will load it into our system and you should receive a reminder notice both from us and the Service Provider when it is due. Our system is only a back up to the Specialist or Service Provider system and we cannot accept any responsibility for the failings of Private Specialist providers.

Hospital Clinic Referrals
In most cases you will receive an acknowledgement of an appointment letter from the hospital within 4 weeks of the referral being faxed. If you do not receive this letter, please contact the Nurse.

We do not have any reliable system to ensure that your Hospital Referral is acted upon by the Public Hospital. It is therefore your responsibility to ensure that if you do not receive an appointment or acknowledgement letter, that you contact us 4 weeks after you have seen the Doctor.

Following your appointment, the Doctor will in most cases receive a letter from the Specialist Clinic. The timely receipt of these letters is often variable in the Public Hospital system.

Please make an appointment two weeks after your Hospital Specialist visit to discuss the Specialist recommendations.

If a recall is required for a follow up test or appointment in the future the Nurse will load it into our system and you should receive a reminder notice both from us and the Public Hospital when it is due. Our system is only a back up to the Hospital System and we cannot assume any responsibility for the failings of the Public Hospital System.

If you are not contacted within two weeks of seeing the Public Hospital, then please contact the Nurse.

GETTING THE MOST OUT OF YOUR GP VISIT

Research indicates that the two most frustrating concerns of patients are, waiting too long to see their GP and not being given enough time when it’s their turn.

This paradox is even harder for your GP to manage. Should your GP stop the consultation and say, “Sorry, your times up and even though we haven’t finished your consultation take this treatment and if you don’t get better get back to me”, or should you be given as much time as you need to complete everything that you have come in for?

Well, chances are your answer will depend on whether you are the patient in the consulting room or the one in the waiting room.

The standard GP appointment of 10-15 minutes actually averages 8 minutes of one-to-one with your GP. So it helps to prepare yourself before presenting to your GP.

BOOK AN APPOINTMENT. Book an appropriate appointment. If you have a long list of problems, tell the receptionist when you make you appointment. Remember, you may have to pay more for the visit, but at least you’ll leave feeling more confident that you have had your problems addressed.

BE PREPARED. Enter the surgery with a clear idea of what you want to discuss. Let the doctor know within the first 30 seconds you main reason for attending, so that your doctor can prioritise and structure your appointment. It’s very difficult for a doctor, when you spend 6 or 7 minutes discussing your sore throat and then as you’re leaving, say “but doctor, the real reason I’m here today is…”.

BE FOCUSED. With the increasing cost of seeing your GP, it’s natural to want to get as much done at a single visit as you can. It may however be more appropriate to see your GP more often and have more time for each particular problem, so that you can feel more satisfied with your care.

BE CONCISE. If you are worried you may forget something, make a list. Anticipate you GP’s questions about the symptoms and their severity.

BE HONEST. Remember doctors have seen and heard everything, so you’re unlikely to shock them. Be honest about bad habits. Your doctor is there to help you through your problems, rather than judge you. Avoiding the truth or missing out vital information may result in an incorrect diagnosis, or even worse incorrect treatment.

LISTEN CAREFULLY. Once you’ve listed you symptoms and you GP has examined you, they are ready to maker their diagnosis. It’s vital to allow the GP a few moments of uninterrupted time to speak and share their expertise.

ASK QUESTIONS. Use the last minute of your time to ask your doctor to explain things you may not understand. Mention anything you think may be relevant, as your doctor may need reminding of things about you that he or she may have forgotten. For example if you are given a script for antibiotics, remind the doctor if you are allergic to penicillin.

AVOID PHONE PRESCRIPTIONS. Don’t make regular requests for telephone repeats. Conditions change and you doctor may need to adjust your treatment.
